This agreement outlines the terms and conditions under which Rasokriti Events & Caterers (hereafter referred to as “Rasokriti”) will provide event and/or catering services to the client (“Client”). By confirming a booking or making any payment, the Client agrees to the terms outlined below.


1. Scope of Services

1.1 Rasokriti provides full-service event planning, decoration, catering, and related support services.
1.2 Specific inclusions and exclusions will be detailed in the Quotation/Service Order.


2. Booking & Confirmation

2.1 All bookings are subject to availability.
2.2 A booking is considered confirmed only after receipt of the booking advance as per clause 3.
2.3 Verbal confirmations are not legally binding.


3. Payments & Deposits

3.1 A minimum of 50% advance payment is required to confirm the booking.
3.2 The remaining balance must be paid at least 7 days prior to the event date.
3.3 For urgent bookings (less than 7 days’ notice), 100% payment must be made at the time of booking.
3.4 Payment must be made via bank transfer, UPI, or other approved digital modes. Cash above ₹10,000 is not accepted.
3.5 All payments are non-refundable, including under force majeure conditions.
3.6 Delayed payments may result in service cancellation without liability to Rasokriti.


4. Refund & Cancellation

4.1 No refunds will be issued under any circumstance, including but not limited to event cancellation, postponement, personal emergencies, venue issues, or force majeure events.
4.2 In case of postponement, Rasokriti may allow date adjustment subject to availability, with a written request made at least 15 days in advance.
4.3 Rescheduling is permitted once per booking. Multiple changes are not guaranteed.


5. Menu & Catering Terms

5.1 Final menu selection must be submitted 15 days prior to the event.
5.2 Any custom dishes or dietary preferences must be discussed during booking.
5.3 Rasokriti shall provide food for the number of guests agreed upon in the quotation.
5.4 Over-guest charges will apply if the actual guest count exceeds agreed numbers.
5.5 Food wastage is the responsibility of the client if guest turnout is low.
5.6 Rasokriti follows hygiene and FSSAI compliance but does not guarantee allergy-free or zero-contamination food in shared kitchen conditions.


6. Event Setup & Logistics

6.1 Rasokriti will arrive on-site as per the agreed timing stated in the booking sheet.
6.2 Venue access and permissions (including electricity, water, vendor access) are the responsibility of the client.
6.3 Delays caused by client or venue mismanagement are not the responsibility of Rasokriti.
6.4 Decor themes, color palettes, and stage layouts must be finalized 7 days prior to the event.
6.5 Final designs will be executed as per approved mockups. Last-minute change requests are not accepted.


7. Staff & Vendor Conduct

7.1 All Rasokriti staff and third-party partners will be in uniform or professional attire.
7.2 Misbehavior, abuse, or obstruction of Rasokriti’s staff by guests or venue will result in immediate service suspension.
7.3 Rasokriti staff will not handle or serve alcohol unless stated in writing and compliant with local licensing.


8. Photography & Media

8.1 Rasokriti may take professional photos/videos of the event for portfolio purposes.
8.2 If the client wishes to opt-out, this must be communicated in writing at the time of booking.
8.3 Rasokriti is not liable for photography/videography delays caused by weather, guests, or other vendors.


9. Decorations & Rentals

9.1 Damage to any rented items (lights, chairs, props, etc.) will be charged to the client.
9.2 Flowers and decor props are reused only if agreed in advance.
9.3 Stage and backdrop removal will be conducted post-event unless otherwise arranged.
9.4 The client must ensure security for decor and setup items during the event.


10. External Vendors

10.1 Rasokriti is not responsible for any third-party vendor the client hires independently.
10.2 Rasokriti will not coordinate or share logistics with external caterers, photographers, or decorators unless contracted.
10.3 Rasokriti reserves the right to deny coordination with unauthorized vendors.


11. Force Majeure

11.1 Rasokriti is not liable for cancellation or delay due to events beyond control such as fire, flood, lockdowns, riots, political restrictions, or natural disasters.
11.2 No refunds or compensations shall be issued in such cases.


12. Liabilities & Disclaimer

12.1 Rasokriti shall not be liable for loss, theft, or damage to any client property at the venue.
12.2 Rasokriti shall not be held accountable for third-party services unless contracted by Rasokriti.
12.3 Any medical emergencies, food allergies, or guest injuries are not the responsibility of Rasokriti.


13. Pricing, Taxes & Revisions

13.1 All quoted prices are exclusive of GST (unless otherwise mentioned).
13.2 Price revisions due to government taxes or market inflation may apply and will be communicated.
13.3 Verbal or WhatsApp quotes are not final until reflected in the signed quotation sheet.


14. Client Responsibilities

14.1 Provide timely access to venue and required infrastructure.
14.2 Cooperate with Rasokriti’s team during setup and breakdown.
14.3 Appoint one family/event coordinator to liaise with the Rasokriti team on the day of the event.
14.4 Ensure that any outstanding payment is cleared before event day.


15. Legal Jurisdiction

15.1 This agreement shall be governed by the laws of the Republic of India.
15.2 Any disputes arising shall be settled under the jurisdiction of courts in [Your City/District], West Bengal.
15.3 Both parties agree to attempt mutual resolution before pursuing legal action.


16. Final Acknowledgment

By signing this document or confirming the event with advance payment, the client acknowledges:

  • Full understanding of the terms above
  • Agreement with the no-refund policy
  • Acceptance of Rasokriti’s working terms
  • Responsibility for any guest-side non-compliance

✅ GENERAL TERMS

1. All services are subject to availability and confirmed only upon receipt of advance.
2. Verbal confirmations are not valid unless followed by written communication and/or payment.
3. Rasokriti reserves the right to refuse any booking at its sole discretion.
4. All discussions and final plans must be documented via email or signed termsheet.
5. Changes to finalized services must be made at least 10 days prior to the event.


✅ PAYMENT & BILLING

6. A minimum 50% non-refundable advance is required to confirm the booking.
7. Full payment must be cleared at least 7 days prior to the event date.
8. Payment modes include NEFT, UPI, cheque (subject to clearance), or bank deposit.
9. No cash payments over ₹10,000 will be accepted.
10. Bookings with less than 7 days’ notice require 100% payment upfront.
11. GST and taxes are charged as applicable.
12. Delayed payment may lead to service refusal or cancellation without refund.
13. No services will begin without receipt of payment as per agreed schedule.


✅ CANCELLATION & REFUND POLICY

14. No refunds are applicable under any condition once advance is paid.
15. Postponement is allowed only once, subject to written request at least 15 days in advance.
16. Postponement is subject to availability and cannot be guaranteed.
17. If a client cancels or no-shows, Rasokriti retains the full amount paid.
18. Client cancellation due to personal emergencies, weather, or venue issues will still be non-refundable.


✅ MENU & CATERING

19. Final guest count and menu must be locked at least 10 days before the event.
20. Menu changes after finalization are not guaranteed.
21. Extra guests above agreed count will be charged additionally per head.
22. Rasokriti maintains hygiene but is not responsible for allergy reactions.
23. Leftover food belongs to Rasokriti unless otherwise agreed in writing.
24. Wastage due to guest no-shows or delays will not be compensated.
25. Kitchen setup (on-site or off-site) will be decided by Rasokriti based on menu and venue.


✅ DECOR & SETUP

26. Final stage layout, theme, and color palette must be approved 7 days in advance.
27. Major changes within 72 hours of event will not be accepted.
28. The client is responsible for ensuring sufficient venue access and electricity.
29. Rasokriti will not be liable for setup delays due to venue restrictions or infrastructure failure.
30. Props, lights, flowers, and decor items are property of Rasokriti and must be returned/dismantled post event.


✅ PHOTOGRAPHY & MEDIA USAGE

31. Rasokriti reserves the right to capture photos/videos of its own work and team.
32. These visuals may be used for Rasokriti’s marketing, unless client opts out in writing.
33. Rasokriti does not guarantee photo or video quality unless booked as part of its in-house package.
34. Photographer behavior and delays from external vendors are not Rasokriti’s responsibility.


✅ VENDOR MANAGEMENT

35. Rasokriti takes full responsibility only for its in-house staff and approved partner vendors.
36. Clients hiring external vendors must coordinate independently with them.
37. Rasokriti will not manage, monitor, or adjust its work to suit external vendors unless pre-approved.


✅ STAFFING & BEHAVIOR

38. All team members are professionally trained and uniformed.
39. Abusive or aggressive behavior from guests toward staff will result in service suspension.
40. Rasokriti staff are not to be assigned personal errands beyond contracted services.
41. Staff meals and rest space must be arranged by the client for long-duration events.


✅ VENUE & LOGISTICS

42. The client is responsible for venue booking, permissions, and infrastructure.
43. Rasokriti is not responsible for venue delays, legal permissions, or municipal fines.
44. Venue access must be granted minimum 4–6 hours before the event for setup.
45. Clients must ensure clear access for catering vans, décor trucks, or heavy equipment.


✅ DAMAGE & LIABILITY

46. Any damage to Rasokriti’s equipment caused by guests will be billed to the client.
47. Rasokriti is not liable for client’s personal items lost, damaged, or misplaced at the venue.
48. In the case of fire, water leakage, riots, or other uncontrollable events, Rasokriti is not responsible for service failure.
49. Rasokriti carries out only the services listed in the signed quotation — no verbal promises are binding.


✅ LEGAL & GOVERNING LAWS

50. All disputes shall be governed by the laws of India.
51. Legal jurisdiction for any claim shall rest exclusively with courts in [Insert District, e.g., Kolkata].
52. By signing this document or making any advance payment, the client accepts all clauses herein.
